Two Quick Filing Tips
We often forget what we have filed things under- or better yet we often have two files that contain the same information. Have you ever created a file labeled “school” only to find later that you already have one labeled “education”? Here are two quick tips to think about when creating filing systems/names (either with paper or in your computer)
- Create a naming system - determine how you will look things up and use that same way of labeling for each file you create. For example you may use the client’s business name rather than personal name. You may include the date, or year, for easier reference later. But be consistent with your naming technique.
- Create a master file list - perhaps a spreadsheet. It should list every file that you have in your cabinet or computer (and maybe a brief description). You will easily be able to reference what is the filing cabinet without having to search through files. This will help prevent duplicates and reduce time searching for things you know you have (especially on the computer).
